STRATEGY

 

Facilitation

We bring together Stakeholders in a series of structured workshops where clear objectives are described to review existing plans; introducing new ideas and baseline benefits to be realised in order to deliver the Business Plan that is relevant to the project / programme to be undertaken.

CONCEPT / REQUIREMENTS DESIGN

 

Clinical Informatics Analysis

We bring our professional clinical and healthcare informatics experience and expertise to specialist departments in order to lead client project staff in the definition of requirements.

Specification authorship

We write specification documentation: (1) using industry standard templates to produce User requirements (2) collating input from key people in the organisation: operational and management, clinical, administrative and IT. The specification can then be used in the formal software product development life cycle.

Template for Asset Register

We use industry quality standard templates to undertake complete review of existing and / or new hardware and software in order to facilitate Service management support and Contractual refresh / renewal obligations by the Supplier.

PROCUREMENT

 

Programme management

We take ownership of all strands and stages of the procurement process based on experience gained working for both Local Service Providers and NHS Trusts.

Project Management

We provide all Project Management services based on PRINCE2 and industry standard project methodologies for either the Supplier or the NHS within a project/ programme.

Contracts reviews

We contribute to the legal process as procurement of new system(s) proceeds to the point of Contract award. Our team includes people with qualifications in contract law and many years of experience in working with IT contracts for hardware, software and professional services delivery.

Liaison with potential suppliers

We utilise our extensive network of contacts within the NHS and Supplier base to advise and guide clients on the most appropriate contenders for the long-list or short-list during the procurement process.

Identification of potential suppliers

We work with clients so as to be aware of relevant suppliers who will meet Business needs.

Short-listing criteria for suppliers

We work with clients to ensure the short-listing process is undertaken in an objective and formulaic manner which will meet the procurement rules and guidelines.

Quality Assurance

We apply leading quality assurance methodologies to the procurement process whether it is on behalf of the Supplier or the NHS customer.

PROJECT SCOPING AND INITIATION

 

Project Plans

We provide ownership and management of the Project Plan using MS Project to ensure all parties involved are clear as to their responsibilities and project timescales as well as informing resource requirements and budgetary constraints.

Project initiation – mobilising a Project organisation

We work collaboratively with the client team / client Project Manager to author the Project Initiation Document. This will enable formal acceptance of the scope and terms of the project and give the formal go-ahead for commencement of the Project.

Business/ Operational / Clinical workflow documentation

We work with all divisions of an organisation from macro to micro level to document current workflow and describe the changes that will result in the new system being implemented.

Audit template for current installation

The current installation of hardware and software needs to be documented to ensure that under a technology refresh project / programme that compatibility of all system components is validated and any replacements / upgrades are planned for. If there is to be a new system installation this work will also need to be done, with particular regard to power and network points.

PROJECT DELIVERY

 

Risk assessments

We work with our clients to fully explore risks and develop a matrix based on probability, impact and cost. We can also undertake risk assessments on environmental and operational factors.

Risks and issues list creation, regular reviews and updates

Throughout the project / programme we continue the risk assessment work by developing and then periodically updating a Risk Register and Issues Log. This is marked up with assigned ownership for each risk and issue; risk mitigation plans are noted; contingency plans; current activity and resolutions when closed. These are used by the Project Managers for tracking follow-up and for presentation and discussion by the Project Board.

Implementation

We undertake day to day management of project tasks either on-site or remotely to ensure the project stays on time and to be the focal point of communication for escalation and updates to all parties concerned.

Training Strategy

We work with the client training manager to devise a Training Needs Analysis, we document the specification required to provide Training facilities and then develop a Training timetable. We work with the suppliers to ensure that training documentation is provided which can then be tailored to the organisation and specified workflow.

Test scripts / User Guides / Template Business Continuity plans

We ensure that thorough Test Scripts are provided by the systems providers for Acceptance and End User testing to ensure that the system to be provided is ‘fit for purpose’. At the same time we work with our client project team to deliver tailored end – user guides and the Business Continuity plan in the event of system unavailability.

GO-LIVE

 

Documentation handover

We ensure that all contractually required documentation is ready and shared as appropriate between the systems’ supplier/(s) and the client organisation. It is vital that all required documentation to support the system is provided either before go-live or as part of final handover by the project team to the operational service team.

Go Live planning meetings

We establish a series of meetings and conference calls to manage and document the detailed activities required at the time of system go live, especially regarding system cutover.

Service Management introduction

We identify the Service Management personnel responsible for the site post-go live and facilitate on-site meeting(s) between the systems’ suppliers and the client organisation.

Go / No-Go live reviews

We establish a process whereby all required relevant parties are available to participate in the decision to go live on the anticipated date. This will include representation from senior operational management, senior clinical management, client organisation systems managers, IT, training leads, project management from the system’s suppliers and the client organisation.

Cutover plan creation and monitoring

The cutover plan becomes the detailed plan of action for the go live event, identifying all resources who are required, when they are required and the actions they must undertake.

We develop this by working to coordinate and plan timings around the work on the final cutover. This is both for operations and the project team. This is then monitored to ensure the order of work to be undertaken is accomplished and that all parties are kept informed.

POST GO-LIVE MONITORING AND REVIEW

 

Link between Project / Ops and Service

The Project Manager is typically the single point of contact for communication and to progress the completion and actions between the Project, the Operational organisation and Service Management.

Establishing processes

We ensure that fault-raising / call-logging processes are in place and tested before go live and that Business Continuity and Disaster Recovery processes are in place and tested.

Facilitate Lessons Learned Report

Work with Project staff to establish what went well and what could have been done better and created Report to communicate this to the Project Board.

BENEFITS REALISATION

 

Benefits Realisation

Facilitated Benefits Realisation workshop to monitor how project benefits identified pre-project are being implemented and report to Senior Management within the organisation.

Plan system exploitation

Appoint systems champions to update the benefits realisation plan and continue to identify workflow practices which could be enhanced by taking benefit of functionality within the new IT systems.

CONTRACT DELIVERY REVIEW

 

Contract reconciliation

We work with the Customer and Supplier to agree OBS items that (1) have been delivered; (2) are yet to be developed and delivered (with timescales allocated to these items) and; (3) can be removed from the contract via formal Contract Change Notice.

Financial reconciliation

We work with the Customer and Supplier to ensure correct invoices have been raised and where items have been removed from the Contract, that correct financial recompense is made to the customer.

COMMUNICATIONS PLANNING and EXECUTION

 

Communications planning

We work with the client project team to develop the plan. We establish firstly who will be affected by the changes. Secondly we establish who manages the departments / divisions / organisations that are being impacted. Create a contacts list for department heads, divisional heads and senior management who need to be contacted directly.

Establish electronic means of communication, key meetings and key locations which are already in place which can be utilised. Decide the frequency of the communications.

Communications execution

The communications lead typically works within the project team and will prepare and send out the communications as agreed in the communications plan. The project board will typically be the decision-making body / approver for any communications being sent out.
